HeartCheck Vet ("we," "us," or "our") operates this website to facilitate registration for OFA cardiac screening clinics. This policy describes what information we collect, how we use it, and your rights regarding that information.

Information We Collect

When you register for a clinic, we collect:

• Owner information: name, mailing address, phone number, and email address
• Dog information: registered name, call name, breed, date of birth, gender, and registration number
• Booking details: appointment type, time slot, and clinic selection

Payment Information

Payments are processed securely through Stripe. We do not store your credit card number, expiration date, or CVV on our servers. Stripe handles all payment data in accordance with PCI-DSS standards. We only store whether a payment was completed and the amount paid.

How We Use Your Information

We use the information you provide to:

• Process and manage your clinic registration
• Send confirmation and reminder emails about your appointment
• Generate OFA examination forms required by the veterinary cardiologist
• Contact you if there are changes to your appointment

Information Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. Your information is shared only with:

• The veterinary cardiologist performing the screening, as needed to conduct your appointment
• Stripe, solely for payment processing
• Our email service provider, solely for sending transactional emails related to your registration

Data Storage and Security

Your data is stored securely using Supabase, which provides encryption at rest and in transit. Access to registration data is restricted to clinic administrators. We implement row-level security policies to ensure data is only accessible through authorized channels.

Data Retention

We retain your registration data for up to 6 months after the clinic date to fulfill the purposes described in this policy and to resolve any payment disputes. After that period, your personal information is permanently deleted. If you would like your data deleted sooner, please contact us — note that we may need to retain payment-related records for up to 6 months regardless.

Your Rights

You have the right to:

• Access the personal information we hold about you via your edit link
• Request correction of inaccurate information
• Request deletion of your data after the clinic has concluded
• Unsubscribe from non-essential emails

Refund Policy

All payments are final and non-refundable. Registrations cannot be cancelled. You may edit your registration details up to 24 hours before the clinic.

Changes to This Policy

We may update this privacy policy from time to time. Any changes will be posted on this page with an updated revision date.
